BOOKING CONDITIONS - ACCOMMODATION ONLY
White Rose Villas LLC offers the property for short-term rental to the guest detailed on the booking form under the terms set out below. The guest accepts these conditions on behalf of all the members of the booking party. Please read these booking conditions carefully as they form the basis of your contract with White Rose Villas LLC ("we", "our", "us"). Any monies received by White Rose Villas LLC for occupancy of the vacation property indicate the acceptance of the terms of our vacation rental agreement in full. All policies are strictly enforced.
MAKING A BOOKING AND PAYMENT
When you choose your accommodation and make a request to book it, you must pay a non-refundable deposit of $250. This deposit secures your booking and will be credited toward a future booking if you cancel.
The balance payment timeline depends on the cancellation policy at the time of booking. The cancellation policy varies per home and is clearly listed on the description and booking confirmation:
- Flexible (14 days prior to arrival): Final payment is due 30 days before arrival.
- Moderate (30 days prior to arrival): Final payment is due 30 days before arrival.
- Strict (60 days prior to arrival): Final payment is due 60 days before arrival.
If the final payment is not made by the due date, we will consider this a cancellation, and the $250 deposit will be retained but may be credited toward a future booking.
Your booking is confirmed when we issue a confirmation invoice. We reserve the right to return your deposit and decline to issue a booking confirmation at our absolute discretion. Travel documents will not be issued until your booking has been paid in full. It is your responsibility to check any travel documents and booking confirmations carefully and report any incorrect or incomplete information to us immediately.
CANCELLATION POLICY
Cancellations must be made in writing by the person who made the booking. The $250 deposit is non-refundable, but it will be credited toward a future booking made within 12 months of the cancellation date.
Cancellation fees are determined by the cancellation policy selected at the time of booking:
Flexible Policy (14 days prior to arrival):
- Cancellations made 14 days or more before arrival: Loss of the $250 deposit (will be applied as a credit towards next booking)
- Cancellations made less than 14 days before arrival: 100% of the total booking cost.
Moderate Policy (30 days prior to arrival):
- Cancellations made 30 days or more before arrival: Loss of the $250 deposit (will be applied as a credit towards next booking)
- Cancellations made less than 30 days before arrival: 100% of the total booking cost.
Strict Policy (60 days prior to arrival):
- Cancellations made 60 days or more before arrival: Loss of the $250 deposit (will be applied as a credit towards next booking)
- Cancellations made less than 60 days before arrival: 100% of the total booking cost.
If we can rebook the property for the canceled dates, we will credit 75% of the recouped rent toward a future booking.
ARRIVAL AND DEPARTURE
- Check-In: 4:00 PM local time. This time may be delayed due to unforeseen circumstances.
- Check-Out: 10:00 AM local time.
Early check-ins or late check-outs may be arranged upon request but are subject to availability and additional fees. If approved, confirmation will be sent via email.
OCCUPANCY AND USE OF PROPERTY
- The property is for vacation purposes only and reserved exclusively for the named guests on your booking confirmation.
- Maximum Occupancy: The number of guests must not exceed the maximum allowed, as listed on the property details. Breach of this term may result in immediate eviction without refund.
- No Parties: Parties, events, and large gatherings are strictly prohibited. Violation will result in immediate eviction without refund.
- Noise Ordinance: Loud noises, music, and disturbances are prohibited between 10:00 PM and 7:00 AM. Guests in violation may face fines or eviction.
DAMAGE TO PROPERTY & DAMAGE WAIVER
Bookings are subject to a non-refundable Accidental Damage Waiver of $90, covering accidental damage up to $1000. Damage exceeding this amount or caused by negligence will result in additional charges.
CLEANING AND MAINTENANCE
- The property will be professionally cleaned before your arrival. If excessive cleaning is required after your stay, additional fees may apply.
- Guests must notify management immediately of any damage, malfunction, or issue at the property. Failure to report issues in a timely manner may result in additional charges.
PETS AND SMOKING / VAPING
- Pets: Pets are not permitted unless explicitly stated in the property description. Unauthorized pets will result in eviction without refund.
- Smoking / Vaping: Smoking / vaping is strictly prohibited. Guests violating this policy will be responsible for all damages and cleaning costs associated with smoking.
POOL AND SPA
- Guests use the pool, spa, and surrounding areas at their own risk. Children must always be supervised in the pool area.
- Pool heating is an additional fee and must be arranged before arrival.
- Glass and breakable crockery must not be taken in to the pool or surrounding deck/patio area
PARKING
- Parking at the property is limited to two (2) vehicles unless otherwise stated in the property details.
- Street parking is strictly prohibited. Vehicles parked on the street may be subject to towing at the vehicle owner expense, per local regulations and HOA policies.
- Guests are responsible for ensuring all vehicles are parked in designated areas only.
PEST CONTROL
- All properties are treated regularly with professional pest control services to minimize the presence of insects and other pests. However, due to Florida’s tropical climate, occasional sightings of ants, roaches, or other pests may occur and are considered a natural aspect of the environment.
- White Rose Villas LLC cannot guarantee a completely pest-free environment and will not issue refunds for pest sightings.
- If you encounter a significant pest issue during your stay, please notify us immediately so that we can arrange additional pest control services as needed.
SATELLITE TV, INTERNET, AND PHONE CALLS
- Satellite TV and Internet: All properties are privately owned and may have varying subscription packages for cable, satellite TV, and internet services. White Rose Villas LLC does not guarantee specific channels, programs, speeds, or uninterrupted service. Services are provided as a convenience and are not integral to this agreement.
- No refunds will be issued for service interruptions, outages, or personal preferences regarding cable, satellite, or internet services.
- Phone Calls: If the property is equipped with a telephone, short domestic calls within the United States are permitted.
- Any long-distance or international calls are the guest's responsibility and may incur additional charges.
RIGHT OF ENTRY
White Rose Villas LLC and its representatives reserve the right to enter the property at any time for the following purposes:
- To perform necessary maintenance, repairs, or inspections.
- To address any disturbances or violations of the rental agreement.
- To verify occupancy and ensure compliance with property rules.
Whenever possible, reasonable notice of at least 24 hours will be provided. In the case of an emergency, such as a maintenance issue requiring immediate attention, notice may not be given.
PERSONAL PROPERTY AND LIABILITY
- Guests are responsible for the safety and security of their personal property during their stay. White Rose Villas LLC is not liable for lost, stolen, or damaged items.
- Travel Insurance: We strongly recommend that guests purchase travel insurance to cover unforeseen cancellations, injuries, or losses.
OUR RESPONSIBILITY FOR YOUR BOOKING
At White Rose Villas LLC, we strive to ensure that your accommodation meets the highest standards and is accurately represented. Our responsibility for your booking includes the following commitments and limitations:
- Duty of Care:
We have a duty to select and contract with accommodation providers using reasonable skill and care. However, we are not directly responsible for the actual provision of the accommodation or for any acts or omissions of the accommodation provider or third parties, except where it is proven that we have breached our duty of care, and damage or loss has occurred as a direct result.
- Liability Limitations: Providing we have fulfilled our duty of care in selecting accommodation providers:
- We are not liable if the accommodation cannot be provided as booked due to circumstances beyond our control (e.g., force majeure events).
- We are not liable for any loss or damage that could not have been reasonably foreseen at the time of your booking, based on the information you provided.
- We are not liable for any loss or damage related to business activities or use of the property for commercial purposes.
- We are not liable for any loss or damage related to services that do not form part of our contract with you, such as excursions or activities booked independently of White Rose Villas LLC.
- Changes and Cancellations:
Occasionally, we may need to make changes to or correct errors in our website, property listings, or other booking details, both before and after your booking is confirmed. In rare cases, we may need to cancel confirmed bookings due to unforeseen circumstances. While we always strive to minimize such occurrences, we reserve the right to make these changes or cancellations.
If a significant change or cancellation occurs, we will notify you as soon as possible. In such cases, you may choose to:
- (a) Accept the changed arrangements; or
- (b) Accept an offer of an alternative villa of comparable standard, if available (any price difference will be refunded if the alternative is of a lower value). If you request a villa of a superior standard, you will be responsible for any additional costs; or
- (c) Cancel your booking completely, in which case we will refund all monies paid by you.
- Construction and Local Development:
Florida is a rapidly growing state, and construction or development may occur in or around the area where your accommodation is located. While we understand this may cause inconvenience, such occurrences are beyond our control, and we accept no liability for any disturbance or inconvenience caused. We will not make alternative arrangements for accommodation, cover any associated costs, or issue refunds due to construction activity.
UNFORESEEN CIRCUMSTANCES
White Rose Villas LLC is not responsible for disruptions caused by weather, natural disasters, construction, or other circumstances beyond our control. Refunds are not provided for these occurrences.
TERMINATION OF OCCUPANCY
Guests must vacate the property at the agreed-upon check-out time. Failure to do so may result in additional charges or legal action.
MEDIATION AND DISPUTES
Any disputes arising from this agreement will first be submitted to mediation before pursuing arbitration or legal action.
